Instructions for Presenters

Registration:
Residents and Fellows who wish to attend the conference must register for the conference by completing an online registration form.  Attendees will also be required to pay a registration fee.  Please see below fee stipulations:

Registration for (Resident/Fellow) Attendees who DO NOT REQUIRE HOTEL ACCOMODATIONS:
*  Accompanied by a preceptor – Must register by February 24, 2012 =  $260.00 
*  LATE REGISTRATION FEES:  Accompanied by a preceptor registering February 25 – March 05, 2012 =  $315.00 

*  Unaccompanied by a preceptor – Must register by February 24, 2012 = $315.00
*  LATE REGISTRATION FEES:  Unaccompanied by a preceptor registering February 25 – March 05, 2012 =  $370.00

*  LATE REGISTRATION FEES:  Accompanied by a preceptor registering February 25 – March 05, 2012 =  $365.00 

*  Unaccompanied by a preceptor – Must register by February 24, 2012 = $365.00
*  LATE REGISTRATION FEES:  Unaccompanied by a preceptor registering February 25 – March 05, 2012 =  $420.00

****Hotel reservations for presenters (accompanied by a preceptor) traveling from OUTSIDE the Omaha/Metropolitan Area ONLY will be made by The Conference based on information provided during online registration.  The Conference will assess a $50.00 rooming fee during conference registration for all residents/fellows requiring hotel accomodations.  All other hotel room fees + tax (up to two nights only) will be paid for by The Conference.  If you are a presenting resident or fellow from OUTSIDE the Omaha/Metro area (accompanied by a preceptor) and would like to have a room reserved at the Embassy Suites Hotel (conference host hotel) please complete the conference registration form in it’s entirety including your preferred roommate name(s) in the space provided and the dates that you will be arriving and departing the conference.  If you are a presenter unaccompanied by a preceptor please refer to the “LODGING & TRAVEL” tab above for additional information.  If a preceptor is planning to share a room with a resident, the conference must be notified – please also make note of this request in the “Special Instructions/Requests” section within the conference registration form.  Presenters who request a private room will be charged for half of the cost of the room.  Private room requests will be accepted space permiting.****

You may make an online payment by credit card or e-check.  If making payment by company/personal check; your paper check MUST be received by April 4, 2012.

Hotel:
Hotel reservations will be made at The Embassy Suites Downtown/Old Market for all presenters attending the conference from outside the Omaha/Metropolitan Area based on information provided from your online conference registration form.  The conference will pay for up to two (2) nights hotel room + tax for presenters accompanied by a preceptor that are traveling to the conference from outside the Omaha/Metropolitan Area. Unaccompanied Residents/Fellows must pay all expenses including hotel fees.  The conference will not reimburse their expenses.  If a preceptor is planning to share a room with a resident; the conference must be notified. 

Private Room Requests:
Presenters who request a private room WILL BE CHARGED FOR HALF OF THE COST OF THEIR ROOM.  Private room requests will be accepted space permitting!

Abstract & Presentation Information:
All abstracts are due no later than February 24, 2012.  Email abstracts as an attachment along with required CE documentation (CV and Conflict of Interest Form) to dprice@nebraskamed.com.  The abstract should be saved in the following format – presenters last name, first initial_abstract (example: Doe,J_abstract). 

Presenters must submit abstracts by February 24th and should register for the conference no later than March 5th

IMPORTANT INFORMATION…PLEASE READ CAREFULLY!  All speakers are required to provide a verbal or written disclosure announcement to the audience at the beginning of their presentation.  Speakers must make a disclosure even if they do not have any.  The disclosure should also include a statement if the presentation includes an off-label discussion(s).

Each room will be equipped with a computer and LCD projector.  All presentations must use “windows based” Microsoft PowerPoint® Software.  Macintosh® Presentation software will not be available to the presenter. 

To avoid font and graphic distortion on the day of your presentation it is very important that all Microsoft PowerPoint slides are saved properly.  Please be sure to do the following prior to storing your final presentation on a USB Drive to bring to the conference:

1.)  Open your presentation

2.)  Click the “OFFICE BUTTON” located on the top left-hand corner of  the screen

3.)  Click the “POWERPOINT OPTIONS” button at the bottom/center of the information box

4.)  Click “SAVE” on the left-hand side

5.)  Click to place a checkmark in the box next to “Embed Fonts in the file”

6.)  Click to select the “Embed all characters (best for editing by other people)” option

7.)  Click “OK”

After saving your PowerPoint presentation as directed above please be sure to save to a USB Drive and bring the USB Drive with you to the conference.  There will be representatives from the Planning Committee available to assist with any LCD problems that may occur. 

All presentations begin and end at the scheduled times.  The format of the conference will allow up to a 20 minute presentation.  There will be 5 minutes allowed for questions after the presentation.

A “5 minute” card will be held up for the speaker to see at the appropriate time.  This card indicates that 5 minutes are left for the presentation, with an additional 5 minutes for questions.  This will allow 5 minutes to transition to the next speaker.

The presentation schedule will not be released until a week before the conference.  One week prior to the conference all attendees will be able to view the presentation schedule on this website.

Evaluation forms may be picked up at the conference registration desk; but not until the conference has come to an end on the last day.  Evaluation forms will not be mailed to presenters after the conference.

Residents attending the conference are expected to attend other resident’s presentations.

Other Information:

The host residency program is sponsoring the conference on a voluntary basis.  They are sponsoring the conference because they are dedicated to post graduate pharmacy education.  They are not professional meeting planners.  The host residency program will be trying very hard to make the conference a success, but sometimes there can be glitches.  They will work very hard to correct any problems if they occur.
